Information Regarding Student Employees

With the launch of Workday, there will be changes to the way we approach student employment.

The way students enter time will change. Students will clock in and out via Workday as they work their hours. These submitted hours will then populate a timesheet which will be approved by their manager every two weeks.

The pay period ending March 31 will be the last period submitted and approved in Banner for student employees. This period will use the regular deadlines and process familiar to employees.

-For this period, student employees must have time submitted into Banner by Monday, April 2, at 9:00 a.m.

-Managers must approve student employees’ time in Banner by Monday, April 2, at 2:00 p.m.

Student employees will begin entering time in Workday beginning Sunday, April 1st.

In regards to hiring, terminating, changing rates or adding positions for student employees, these processes will initially be handled as paper transactions when we go-live. We want you to be able to get used to Workday before commencing training on another new process. We will be training student managers on how to handle these processes in Workday over the summer. By the Fall 2018, all of these transactions will be paperless and done in Workday.

For student employment this summer, recent graduates will no longer be allowed to remain on the student payroll. If you plan to employ a student that graduated with the Class of 2018 for summer work, they will have to be hired through Human Resources as a casual employee of the University.
