Key Dates and Freeze Periods

As the go-live date of April 1 for Workday quickly approaches, there are going to be some changes happening to the systems and processes we currently use.  

3/23/18 will be the final day to enter data into the following:

Accounts Payable  As of 3/23, you will no longer submit invoices through Banner. All invoices will be submitted through Workday after go live on 4/1.  Please keep due dates in mind.

Concur ExpenseAll expense reports must be submitted and approved by 3/23/18.  Please note, the last day credit card expenses will post to Concur is 3/20/18.  Concur Expense will sunset with the implementation of Workday.  After 4/1, you’ll reconcile credit card charges and request all expense reimbursements through Workday.

P-card /PaymentNet*As of 3/23, finalize reconciliation of all expenses posted to PaymentNet through 3/20/18.  After 4/1, all P-card charges will be reconciled using Workday.

B-buy – The last day to process a purchase order is 3/23. B-buy is sunsetting with the implementation of Workday. After 4/1, all purchase orders will be submitted through Workday. Please consider not using B-buy after 3/15.

Office Depot* – The last day to process office supply orders is 3/23.  After 4/1, all orders will be submitted through Workday.

Budget Adjustments & TransfersAll budget adjustments or transfers of funds received after 3/23/18 will not be reflected in Banner accounting records as of 3/31.

– The onboarding process for new hires will pause after 3/19/2018 and resume on 4/9/2018. See “Workday Hiring Details” in News and Updates for more information.

– PLEASE NOTE: Updates to personal information in the HR Self-Service Portal on Bannerweb need to be completed by 2/23/18.  Any updates after 2/23 will need to be made in Workday on 4/2.

*You are still able to make purchases during these periods, you will just have to wait to reconcile them in Workday.

It is of the utmost importance that you save these dates and make sure to enter all appropriate data before that date.
